KUCI / PROJECT BUYER GUIDE
Sourcing Building Materials from China: A Practical Starting Checklist
Start sourcing building materials from China with a room-by-room item list. Plan samples, drawings, quote inclusions and delivery responsibilities.

Before you start
- Start with the rooms and decisions in your project, not a list of attractive product photos.
- Use one item schedule to connect drawings, samples and supplier quotations.
- Agree who checks technical suitability and who releases the order.
Start with what is already decided
You do not need a complete specification to begin sourcing, but you do need to distinguish decisions from questions. Mark the rooms in scope, the drawings that are current and the items already selected. If your design is still developing, ask for options and sample requirements rather than treating an early estimate as a final order.
For a kitchen renovation, for example, the cabinet style may be clear while the wall dimensions and plumbing position are not. Record those gaps. They affect what can be priced accurately and when production can begin.
Build one item schedule
When sourcing building materials from China, give each item one reference across the plan, quotation and packing list. Record its room, quantity, unit, dimensions and finish. Include the project destination and required documents, and mark which selections still need samples or measurements.
Keep alternatives separate. If one supplier offers a different cabinet substrate or window configuration, ask for it as an identified option. Comparing two totals is only useful when you understand those differences.
Approve samples and drawings together
A finish sample helps with colour and texture; a drawing explains dimensions and interfaces. Review both before release. Consider adjoining materials under the same light and ask which sample will serve as the order reference.
For custom items, have the responsible site professional verify measurements and connections. A supplier can review its product details, but the project still needs a clear owner for local suitability and installation coordination.
Plan the route to the site
Ask for a packing proposal, expected package sizes and a defined delivery scope. Review access, storage and unloading with the receiving team. An oversized item may require a different delivery plan even if it fits perfectly in the room.
Use current supplier and transport estimates to work backward from the installation date. Keep dates conditional on the approvals they depend on, and record how changes will be handled.
Make the first enquiry easy to answer
Send the current plans, project location, room list and target dates with your priorities. If you have a budget range, explain what it covers. Ask the supplier to identify missing information and separate product prices from optional services and delivery costs. This creates a useful next step even when some selections remain open.
Your first sourcing brief
- Project location, construction stage and rooms in scope.
- Current drawings with a date or revision number.
- Item references, estimated quantities and annotated appearance images.
- Samples or technical documents needed for approval.
- Target installation dates and the person responsible for each decision.
