Furniture Ordering Checklist for Overseas Projects
Check furniture dimensions, delivery access, modular orientation, upholstery and packing before placing an overseas order.

Before you start
- Measure the delivery route as well as the room.
- Approve modular layouts from a clearly stated viewpoint.
- Link the finish sample, item schedule and package label.
An overseas furniture order should define the exact configuration that will arrive, not only the appearance shown in a showroom image. Dimensions, orientation, upholstery and packing details can change how well a piece fits the room and how easily it reaches it.
Create a room by room schedule before you approve the order. Give every item a reference that connects the plan, quotation, finish sample and package label.
Check room fit and delivery access
Place the furniture dimensions on the floor plan with enough room for the intended movement and use. Consider doors, drawers, reclining mechanisms and dining chairs in their working positions, not only when closed or tucked away.
Then check the route from the delivery point to the room. Record door widths, turns, stairs and lift restrictions. Ask for packed dimensions and the size of the largest nonremovable component. A sofa that fits the living room may still be difficult to carry through the entrance.
Confirm modular configurations with a drawing
For sectional sofas, identify every module and show its position on a plan. Define the chaise direction from a stated viewpoint, and confirm arm positions, connectors and any separate ottomans. A labeled diagram avoids ambiguity in left and right descriptions.
If dimensions are modified, ask what changes in the frame, cushion construction, seams and pricing. Standard modules and fully custom pieces have different production implications. Confirm stock availability and lead time for the exact configuration rather than assuming every catalogue item is ready to ship.
Specify upholstery precisely
Record the material description, supplier reference, color and approved sample. Where a sofa uses different materials on contact and noncontact surfaces, ask the supplier to identify those areas. Terms such as leather, microfiber and fabric need a more specific product description to support a reliable comparison.
Discuss batch variation and agree how the final upholstery will be checked against the sample. For repeated hotel rooms, retain the approved references through production and consider the availability of replacement covers or matching material.
Look beyond the outer surface
Ask for the frame, suspension and cushion construction. If foam density is specified, record its units and which cushion layer it describes. Density alone does not define the seating experience; shape, support and the full cushion arrangement also matter.
Try a representative sample where possible, or request dimensions and a detailed demonstration of the actual model. For beds, confirm mattress dimensions, support system and whether the bed frame, mattress and bedding are quoted separately.
Confirm care instructions and included items
Removable covers are not necessarily machine washable. Request the care instructions for the chosen upholstery and agree how replacement covers can be ordered. Check whether decorative cushions, tables, rugs and accessories shown in photographs are included.
For custom finishes, approve physical samples before manufacture. Record how the supplier will protect surfaces and where legs, connectors and assembly tools will be packed.
Prepare a receiving record
Ask for final item photographs and a package list linked to room references. Have the receiver count packages, document condition and keep assembly instructions. Arrange storage that protects the furniture while wet or dusty construction continues.
Does a showroom photo define the complete order?
No. It needs a supporting schedule with dimensions, materials, configuration and inclusions.
What should I send to start furniture sourcing?
Send the furnished floor plan, room dimensions, access restrictions, preferred styles and target delivery date. Identify the items where comfort testing or a physical finish sample is essential.
Before approving each furniture item

- Doorways, turns, stairs and lift restrictions along the delivery route.
- Module codes, chaise direction, arms and connectors on a labelled plan.
